Claim Procedures



Procedure to Accident Claim under a Motor Policy (Car or Motor Cycle)

  • Intimate the Claim (Suggested draft of Intimation Letter) to the Insurers immediately in an unfortunate event of an accident, Theft or Burglary however please attend to injured & lodge police report especially in all major claims on priority.
  • In case the vehicle is outside the city limits of the Insuring Office, intimate the nearest office of the Insurance Company. Insurance companies have wide network of offices.
  • Insurers in case of all major accident prefer spot survey.
  • Move the accidental vehicle to the Repairer. Obtain and Preserve the Money receipt, for towing (wherever applicable) the vehicle to the Repairer's premises.
  • Obtain an Estimate of Repairs, from repairers. (Preferably an Authorized Repairer of the Manufacturer of the Vehicle) and as far as possible provide the same to the insurers Office along with the Intimation Letter. This will expedite the appointment of the Surveyor Loss Assessor.
  • Insurers issue a claim form on intimation and on submission of the same duly completed & signed by the insured or its authorized rep. insurers will depute a Surveyor and Assessor to inspect and assess the loss.
  • Provide copies of the Legal Documents, viz. FIR, Challans, Summons to the Insurance Company for quick disposal of claim.
  • The Surveyor will visit the workshop/Garage for inspection of the vehicle and Finalization of the claim amount with the Owner and/or Repairer. CAUTION - Never initiate repairs prior to the inspection of the vehicle by surveyors.
  • The documents required by surveyor will include the Copy of Insurance Policy of the Vehicle, Original Driving License and the Registration Certificate for its verification.
  • On satisfactory repairs of the vehicle, intimate the insurers who may at their option have the vehicle re-inspected.
  • Documents to be deposited with insurers include Original Bill of Repairs / Replacements, Cash memo, Payment Proof etc., for finalization / disposal of claim by the Insurance Company.
  • On approval of claim arrange to deposit salvage the salvage/ damaged parts with insurers failing which they may deduct the salvage value from the claim amount.

Procedure for the Theft/ Total Loss Claim

  • Immediate information to the Police & recording of FIR.
  • Notify the insurers, RTO (Transport Authority) about the theft of the vehicle and it's noting in the records of the concerned agency to pre-empt any attempt to transfer the vehicle.
  • Necessary letters are required to be written to authorities viz. RTO, Police Station, Municipal Authorities intimating them that the vehicle is not in r use and it may be recorded in their records to avoid any penalty, challan, fines and save applicable taxes etc., caused by misuse of the vehicle by the thief.
  • Obtain Final Police Report (investigation report) from the Police and handover the same in original to the insurers (under acknowledgement)
  • Both Keys of the vehicle are required to be deposited with insurers.
  • Original Insurance Policy (if available) is required to be provided to the Insurance Company.
  • Upon confirmation of settlement of the Claim, the Registration Certificate (without hypothecation) is required to be transferred in the name of the Insurance Company.
  • In case of financed/hypothecated vehicle, a No Objection Certificate is to be obtained from the Financer if the payment is desired to be obtained by Insured. In the event otherwise, the Claim shall be paid to the Financer of the Vehicle.
  • In case the total loss is not due to theft, the procedure for the Accidental Claim shall precede this procedure & vehicle will need to be deposited in insurers warehouse in, as it is where it is condition complete without any shortages on approval of claim but before release of payment.
  • Provide Letter of Subrogation (Suggested Draft) and Letter of Indemnity (Suggested Draft) to the Insurance Company. Drafts are provided. However it is better to obtain from concerned insurers) on non-judicial stamp paper duly notarized.

Procedure for Third Party Claims

  • Please make a mention in the claim form if any Third Party is injured or some fatal injury took place in an accident involving your vehicle, if your vehicle was simultaneously damaged. In the event other wise when the vehicle was not damaged, but some one has been injured or some property (public or private) has been damaged involving your vehicle, a simple intimation is given to the Insurance Company (Policy issuing Office) under acknowledgement. Also attach an attested copy of the Driving License of the person on the Steering wheel at the time of accident along with an attested copy of the Registration Certificate.

CAUTION - Never enter into a compromise or make an out of court settlement with the injured or legal heirs of the deceased without the consent of the insurers. These compromises or out of court settlements are not payable in terms of Insurance Policy.

  • Send the Summons in original (retain a copy) under acknowledgement to the Insurance Company (Policy issuing office) for defending the Liability in the MACT Court.
  • Provide cooperation to the advocate deputed by the Insurance Company.
